Purpose of the Role
As Office Assistant for our Stockholm office, you will be the welcoming face and heartbeat of nShift locally. You will help create a workplace that people genuinely enjoy being part of — one that is organised, welcoming, and full of energy.
You will be a key partner to the teams based in Stockholm and play an important role in creating a strong local culture while strengthening the connection to our wider global nShift community.
Overall Responsibility
You will bring the energy and organisation that help make an office feel like a great place to work. As one of the first points of contact for employees, visitors, customers, and suppliers, you will represent the nShift culture through every interaction.
You will take ownership of the daily running of our Stockholm office with support from the People Team. You will ensure the workplace operates smoothly while creating opportunities for people to connect through social activities, engagement initiatives, and wellbeing-focused events.
Key Responsibilities
Your responsibilities will include:
Being the go-to person for our Stockholm office: acting as its host, problem-solver, and culture ambassador
Creating a welcoming experience for everyone who enters the office or contacts us by phone
Managing front-of-house activities to a high standard: welcoming visitors, answering and forwarding calls, and handling messages
Ensuring the office runs smoothly on a daily basis, including repairs, cleaning, furniture, plants, notice boards, and general maintenance
Making sure the office is ready for the day with essentials such as coffee and kitchen supplies
Managing relationships with external suppliers and service providers, including cleaning, plants, post, couriers, travel, taxis, and catering
Coordinating catering for meetings, visitors, and office activities
Managing stationery supplies and placing orders when needed
Organising local company-sponsored events and activities that bring employees together
Supporting training sessions by coordinating rooms, participants, equipment, and materials
Scanning and distributing incoming letters and documents
Supporting travel coordination and administration
Keeping our community page updated with resources that encourage wellbeing and engagement
Supporting engagement activities such as lunch-and-learns and team initiatives
Working closely with the People Team to develop ideas that strengthen employee experience, connection, and wellbeing

Is eager to learn, develop, and grow within the role. Previous office experience is beneficial but not essential
Has strong Swedish and English communication skills, both written and spoken, as you will collaborate with colleagues across our global organisation
